The "thank you" page and a created order do not confirm receipt of money. For a sales report, link the order number to a confirmed payment and account for refunds separately. Do not change statuses manually, so that the report matches expectations.
Three different moments
A buyer can create an order, open the payment page, and close the page without paying. They can return to the site before confirmation. Therefore, the interface event, the order state, and the payment state are checked separately. A specific payment service defines its own statuses and method of confirmation; one provider's names are not universal.
For example, YooKassa documentation distinguishes pending, waiting_for_capture, succeeded, and canceled. In the chosen process, waiting for capture is not substituted with a successful payment. This is an explanation for reading statuses, not an instruction to change payment acceptance settings.
A training reconciliation
The ledger contains four orders for 1 000 rubles. For A, the payment is confirmed; B is pending; C is canceled without a successful charge; D is confirmed, then a refund of 300 is recorded. Orders were created for 4 000, payments were confirmed for 2 000, and refunds were registered separately for 300. The remaining cash inflow within these conditional boundaries is 1 700.
This is not a calculation of accounting revenue or profit: there is no cost of goods, commissions, or other obligations here. The purpose of the example is not to turn four order rows into four paid purchases.
If the numbers do not match
Verify the payment identifier, currency, amount, time, and the last confirmed state. A repeated callback should not become another payment of the same payment in your report. Leave unclear cases in a separate list for review with the person responsible for accounting. Mark test and demo transactions separately; their presence does not prove real cash inflows.
