First reaction without random promises

Read what exactly the complaint is about: a delayed reply, a mismatch with the product, an unclear status. If there is not enough data, do not declare the problem resolved. State what information is needed privately and when the team will come back with an answer, if such a timeframe can actually be met.

An author's sample: “I see that the promised reply did not come. Write to our official support channel with your ticket number; we will check the correspondence and let you know the next step by tomorrow, 12:00 MSK.” For a team without such a timeframe, it is better to honestly state the current processing procedure. Do not ask for a phone number, receipt, or delivery address in the comments.

Two records instead of a public dossier

Inside support, a detailed analysis is kept with access only for those responsible. In the public thread, there is a short confirmation that the request has been accepted, and then an acceptable outcome: for example, “we got in touch and agreed on further actions.” Do not describe the amount, personal circumstances, or the content of the correspondence without necessity and approval.

If it turns out that the team made a mistake, fix the cause: an inaccurate caption, a broken link, a lost request. A reply of “write to us” without further processing merely moves the problem elsewhere.

How to confirm that a complaint is closed

Assign one person responsible and separate the statuses: cause identified, solution proposed, action completed, result confirmed. For example, a file sent again does not yet mean that the client was able to open it. If there is no confirmation, state this inside the request and carry out the agreed next contact, without passing off silence as satisfaction.

Also check that the cause has been fixed for future buyers. If the promise on the page differed from the actual contents, a single personal reply is not enough: the current description needs to be agreed on and checked. A public “issue resolved” is appropriate after an actual result, taking into account the agreed scope of disclosure. The templates here are an editorial methodology, not an official VK procedure.
