A three-part reply

First briefly restate the task, then ask one or two necessary questions, and after that explain what will happen with the reply. A conditional example: “You need a shelf for a niche. Please tell us the width and depth so that we can check suitable options. After that we can discuss the composition and the price.” This is a conversation template, not a promise of a specific price or deadline.

If the person has already sent the dimensions, do not ask for them again. If the message is unclear, clarify the ambiguity rather than choosing the convenient interpretation. For a complex task, offer a convenient way to pass on the information, while keeping the option to decline.

The boundaries of the promise

Do not write “we will do everything” until feasibility has been checked. If approval is required, name that stage itself. Do not promise a reply in five minutes if the team is not able to ensure that. If information is missing, it is more honest to say that it needs to be clarified and to give a realistic order of continuation.

Do not request a login code, password, full card details or unnecessary documents. An order number should be passed on in a suitable private channel, not in a public thread. Do not copy personal information into a general editorial report.

How to check the team's work

Using anonymized examples, assess whether the employee understood the task, did not repeat a question and explained the next step. Separately note the requests for which a proposal is impossible: they cannot automatically be considered “lost sales.”
