A voice or video message to clients should be accompanied by a short text summary. It should retain the decision, the deadline, and the action: the person will not have to search for an important date inside the recording or hope that automatic transcription is available.
What to keep in the recording and what to put in the text
A recording is suitable for intonation, demonstrating a process, and explaining a choice. Exact addresses, dimensions, dates, and terms are better duplicated in text. Do not promise that every recipient will be able to use the same transcription feature: availability depends on the app and account terms.
An author's example from a workshop: in the voice message, the author explains why the product handover is being postponed. Below it is the text: "Handover — 24 September after 16:00 Moscow time. The address is the same. If the time does not work, write in the agreed order chat." This is a summary of the decision, not a verbatim record of pauses and repetitions.
Three checks of the summary
First, compare the text with the audio: a number, a unit of measurement, and a negation must not be lost. "Can be washed" and "must not be washed" differ by one word, but lead to opposite actions. Then read the summary without sound. Finally, turn on the recording and make sure it does not contain an old date that contradicts the text.
If the author has corrected a significant error, mark the correction explicitly. For a public channel, do not use a client message as an example without approval; it is easier to record your own anonymized scenario.
How not to turn the summary into a second long post
Keep three meaningful lines: what changed, what deadline it relates to, where to turn. Keep the details and the history of the decision in the recording. For a long explanation, you can add time markers, but first check them in the actual file.
